Welcome to AaraBookkeeping.

These Terms and Conditions (“Terms”) govern your access to and use of the AaraBookkeeping website, software, applications and related services (“Service”).

By registering for, subscribing to, accessing or using AaraBookkeeping, you agree to these Terms.

1. About AaraBookkeeping

AaraBookkeeping is a cloud-based bookkeeping and business management solution designed to assist businesses, NGOs, associations and other organisations in managing financial records and administrative activities.

Depending on the subscription plan selected, features may include bookkeeping and accounting, financial reporting, employee management, attendance, leave, payroll, employee expenses, loans, tasks and other administrative functions.

2. Account Registration

You must provide accurate and reasonably complete information when creating an AaraBookkeeping account.

You are responsible for maintaining the confidentiality of usernames, passwords and account credentials associated with your account.

You are also responsible for activities performed through accounts under your control and should promptly notify us if you become aware of suspected unauthorised access.

3. Authorised Users

Customers may permit authorised employees, officers, accountants or other authorised persons to access their AaraBookkeeping account according to their subscription plan.

Customers are responsible for assigning appropriate roles and permissions and for removing or restricting access when a user is no longer authorised.

4. Subscription Plans

Access to features, number of users, employee limits and other functionality may vary according to the subscription plan selected.

Current package descriptions and prices will be displayed on our website or otherwise communicated to customers.

We may introduce, modify or discontinue subscription plans from time to time. Changes affecting an existing paid subscription will be communicated where reasonably appropriate.

5. Fees and Payments

Subscription fees are payable according to the selected plan and billing period.

Unless otherwise stated, applicable fees are quoted in Malaysian Ringgit (MYR).

Customers are responsible for ensuring that payment information is accurate and that payments are made when due.

Any applicable taxes, duties or statutory charges will be handled according to applicable law.

6. Renewals, Cancellation and Refunds

Subscription periods and renewal arrangements will be stated when a customer purchases or renews a plan.

Customers may choose not to renew their subscription in accordance with the applicable subscription arrangements.

Refund eligibility, where applicable, will be determined according to the refund or cancellation terms communicated at the time of purchase and applicable Malaysian law.

7. Customer Data

Customers retain responsibility for the business, financial, employee and other information they enter into AaraBookkeeping (“Customer Data”).

Customers grant AaraBookkeeping the limited rights necessary to host, process, transmit and otherwise handle Customer Data for the purpose of providing and supporting the Service.

We do not acquire ownership of Customer Data merely because it is stored or processed using AaraBookkeeping.

8. Customer Responsibilities

Customers are responsible for:

  • ensuring that information entered into AaraBookkeeping is accurate and lawful;
  • obtaining appropriate permission or authority to process personal data entered into the system;
  • maintaining appropriate user access and permissions;
  • reviewing accounting entries and financial reports;
  • maintaining any records they are legally required to retain; and
  • using AaraBookkeeping in accordance with applicable laws and regulations.

9. Accounting and Professional Advice

AaraBookkeeping provides software tools to assist with bookkeeping, accounting and administrative record management.

The Service does not constitute accounting, tax, audit, legal, investment or other professional advice.

Customers remain responsible for their accounting decisions, statutory filings, tax obligations and compliance requirements and should obtain advice from appropriately qualified professionals where necessary.

10. Acceptable Use

You must not use AaraBookkeeping to:

  • engage in unlawful, fraudulent or abusive activities;
  • upload malicious software or harmful code;
  • attempt to gain unauthorised access to systems or accounts;
  • interfere with the security or operation of the Service;
  • misuse another person's personal data;
  • copy, reverse engineer or exploit the software except where expressly permitted by law; or
  • use the Service in a manner that infringes the rights of another person.

11. Intellectual Property

AaraBookkeeping and its associated software, website content, branding, designs and other proprietary materials are protected by applicable intellectual property laws.

Except for rights expressly granted under these Terms, no ownership rights in AaraBookkeeping are transferred to users.

12. Service Availability and Updates

We aim to provide a reliable Service but cannot guarantee uninterrupted or error-free availability at all times.

Access may occasionally be affected by maintenance, upgrades, technical problems, third-party services or circumstances beyond our reasonable control.

We may update or improve AaraBookkeeping from time to time, including modifying features and interfaces.

13. Backups and Record Keeping

We may maintain operational backups as part of providing the Service where applicable.

However, customers should maintain appropriate copies or exports of important records according to their own business, legal and record-retention requirements.

AaraBookkeeping should not be treated as the customer's sole archival repository for documents that the customer is legally required to retain.

14. Suspension or Termination

We may restrict or suspend access where reasonably necessary, including in cases of non-payment, material breach of these Terms, unlawful activity, security risks or misuse of the Service.

Where reasonably practicable, we will provide notice and an opportunity to remedy the issue.

Customers may discontinue use of the Service according to their applicable subscription arrangements.

15. Limitation of Liability

To the extent permitted by applicable law, AaraBookkeeping will not be liable for indirect, incidental or consequential losses arising from the use of or inability to use the Service.

Nothing in these Terms excludes or limits any right or liability that cannot lawfully be excluded or limited under applicable Malaysian law.

16. Privacy

Our handling of personal data is described in our Privacy Policy, which should be read together with these Terms.

17. Third-Party Services

Certain functionality may depend on third-party infrastructure or services.

We are not responsible for independent third-party services outside our reasonable control, and use of such services may be subject to separate terms and policies.

18. Changes to These Terms

We may update these Terms from time to time to reflect changes to the Service, our business practices or applicable legal requirements.

Updated Terms will be published on our website with a revised “Last Updated” date. Where changes are material, we may provide additional notice where reasonably appropriate.

19. Governing Law

These Terms are governed by the laws of Malaysia.

Any dispute relating to these Terms or the Service will be subject to the applicable laws and jurisdiction of Malaysia, without limiting any rights available to consumers under applicable law.
